1. Who is responsible for your data
Informacja Polonijna is operated by Pixelmesh. Personal data processed on informacjapolonijna.com (the "Site") is controlled by Pixelmesh, based in Arlington Heights, Illinois, USA. Contact: info@informacjapolonijna.com.
2. What data we collect
Data you provide:
- when creating an account – your name, email address, phone number and password (stored only in encrypted form);
- when adding or claiming a listing – business name, address, phone, email, website, logo, photos, description and categories;
- when using the contact form or reporting a listing – your name, email, phone and the content of your message; with a report of a listing we also record the IP address it was sent from, to prevent abuse.
Data collected automatically: IP address, browser and device type, the pages of the Site you visit, date and time of the visit, and cookies (see section 6). If you accept analytics, Google Analytics also collects data about how the Site is used (see section 7).
Searches: the words typed in the search box and the filters you choose (see section 8).
Location: only when you click "Locate me", your browser – with your permission – sends us your approximate coordinates, which we pass to a Google service to determine your city and show businesses nearby. We do not store the coordinates.
3. Why we process data
- running the directory and displaying business listings;
- managing user accounts, adding and claiming listings, and verifying them;
- handling paid plans and payments;
- responding to messages and reports;
- sending you emails about your account, listing or claim (confirmations, decisions, password reset);
- contacting the businesses in the directory about their listing – its verification, an update of its details or our plans – by email, at the address the listing shows; we keep a record of the emails we send, and each such email says how to ask us to stop;
- keeping the Site secure and protecting its data against abuse, bots and unauthorized automated collection;
- usage statistics (analytics – with your permission) and improving the Site;
- meeting legal obligations, including accounting requirements.
4. Business data in the directory
The directory is public by nature: a business's name, address, phone, email, website and description are visible to every visitor. This data comes from the businesses themselves, from publicly available sources and from users of the Site. If your data appears in the directory, you can claim the listing, or ask for it to be corrected or removed by writing to the address in section 1.
That this data is visible in the directory is not permission to reuse it: collecting it automatically, building databases or contact lists from it, and sending unsolicited messages on the basis of it are not allowed. The rules are in the Terms of Service.
5. Who we share data with
We do not sell personal data. We use external service providers only as needed to run the Site:
- Stripe – payment processing for paid plans; you enter card details directly with Stripe and they never reach our servers;
- Google Maps / Google Geocoding – displaying maps and determining locations; subject to Google's privacy policy;
- Google Analytics – statistics on how the Site is used; only if you agree to it (see section 7);
- Anthropic – if you use the AI search ("Szukaj z AI"): the sentence you type is sent to the provider of an artificial-intelligence model, which turns it into search filters (see section 8); and when we add or tidy listings – the details of listings, to read them from photos, documents and spreadsheets, to point out duplicate listings, and to check on the web whether a listed business still operates and whether its name, address, phone and website are current (the model then searches public web pages and gives us its sources; it receives only the listing's details, never visitors' data);
- OpenStreetMap (Nominatim) – when we tidy the directory: checking a listing's name and address against the open map database; we send only the listing's details;
- Internet Archive (Wayback Machine) – when we tidy the directory: checking when a listed business's website was last available; we send only that website's address;
- public business registers (for example the State of New York's) – when we tidy the directory: checking whether a listed business is registered and active; we send only the business's name;
- Cloudflare Turnstile – protecting forms against automated submissions (when a form loads, your browser contacts Cloudflare's servers);
- Google (fonts and the jQuery library) – the fonts and the jQuery library every page of the Site uses are loaded from Google's servers (fonts.googleapis.com, ajax.googleapis.com); when a page loads, your browser contacts Google and sends it your IP address and browser details, as with the maps;
- our hosting and email providers.
Data may also be disclosed where required by law or by a competent authority.
6. Cookies
The Site uses cookies:
- necessary – always on: keeping you logged in, securing forms, remembering your chosen language and your cookie choice (we keep that choice for 12 months);
- analytics – Google Analytics cookies (for example "_ga"), set only after you have given your permission in the cookie notice (see section 7);
- third-party – set by Google when maps are displayed.
On your first visit a notice lets you accept analytics cookies or reject them. Rejecting non-essential cookies does not limit your use of the Site: logging in, searching, adding listings and everything else work the same way. A browser that sends a Global Privacy Control signal is treated as if it had rejected non-essential cookies. You can change your choice at any time with the "Cookie settings" link at the bottom of every page. You can also delete or block cookies in your browser settings; some features of the Site may then not work correctly.
7. Usage statistics – Google Analytics
Google Analytics. With your permission, we use Google Analytics 4 to understand how this website is used. It records the pages that are viewed, clicks on the phone, email and website buttons of listings, the searches made on the site (the words typed, unless they look like an email address or a phone number), the approximate location of the visitor (city or region, worked out from the IP address) and the type of device and browser. We do not use Google Analytics for advertising: no Google Ads, remarketing or other advertising features are switched on, and nothing collected is used to build advertising profiles. Google Analytics keeps the data about individual visits for 14 months; the aggregated statistics built from it (for example how many visits a page had in a month) are kept with no time limit, for as long as we run the site. Google Analytics is loaded only after you accept it in the cookie notice; if you reject non-essential cookies, or your browser sends a Global Privacy Control signal, nothing is loaded and nothing is recorded, and you can still use the whole site as usual. You can change your choice at any time with the "Cookie settings" link at the bottom of every page.
The legal basis for processing this data is your consent. You can withdraw it at any time; withdrawing it does not affect the lawfulness of processing carried out before you withdrew it.
8. Search and the AI search
We keep our own record of the searches made on the Site: the words typed, the filters chosen (for example category and city), the number of results, and the date and time. The record does not contain your name, email address, IP address or any identifier of your browser. It is used to see what people look for and to improve the directory. It is kept whatever you choose about cookies, because it holds no data that identifies you or your device.
If you use the AI search ("Szukaj z AI"), the sentence you type or dictate is sent to the provider of an artificial-intelligence model (Anthropic), which turns it into search filters such as a category or a city. The results still come only from the directory. We do not pass your name, email address or IP address to that provider. To limit abuse, we count requests from one device using a one-way hash of the IP address and the session, kept only for a short time.
9. How long we keep data
- account data – until the account is deleted;
- business listings – for as long as they are in the directory (outdated listings may be archived);
- payment records – for the period required by tax and accounting law;
- contact form messages – for as long as needed to handle them;
- data about individual visits in Google Analytics – 14 months; the aggregated statistics – no time limit;
- the search record – for as long as it is needed to improve the directory;
- reports of listings (with the IP address) – for as long as needed to handle them;
- the record of emails sent to listed businesses – for as long as the listing is in the directory;
- server logs and backups – for a limited time, for security purposes.
10. Your rights
Depending on where you live (including the GDPR for people in the European Economic Area and state privacy laws in the USA), you may have the right to access your data, have it corrected or deleted, restrict or object to its processing, and receive a copy of it. To exercise these rights, write to info@informacjapolonijna.com. You can also update your account and listing details at any time from your dashboard, and change your cookie choice (see section 6).
11. Security
Connections to the Site are encrypted (HTTPS), passwords are stored in encrypted form, and access to data is limited to the people who need it to run the Site.
12. Children
The Site is not intended for anyone under 16 years of age, and we do not knowingly collect their data.
13. International transfers
The Site runs on servers in the United States. The providers we use (including Google and Anthropic) may process data in the USA and in other countries as well. If you use the Site from outside the USA, you acknowledge that your data will be processed in the USA.
14. Changes to this Policy
We may update this Policy. The current version, with the date of its last change, is always available on this page.
This Policy is drawn up in Polish; the English version is a translation provided for convenience. In case of any difference between the two versions, the Polish version prevails.
